How much notice to give
We suggest at least 30 days, or one full billing cycle if yours is longer. That is our recommendation, not a rule. A client paying monthly needs one invoice at the old rate after hearing about the new one, to budget for it or to get approval internally. The sheet warns you if the start date gives less than that.
If you have a contract, it comes first. A contract that fixes the rate for a period, or sets its own notice for a change, still applies after you send this email. Check it before you pick a date.
Why the email is so short
- One reason, or none. A reason helps the client explain the change to whoever approves the budget. A list of reasons reads as a case to be argued with, and it gives the client something to disagree with.
- No apology. A new rate is a business decision, not a mistake. Apologising for it suggests it is open to negotiation.
- Say what does not change. Keeping work already agreed at the current rate is the fairest way to handle a project that crosses the date, and it answers the question most clients would ask first.
- An offer to talk, not a request for permission. The email tells the client the new rate. Offering a call leaves room for a conversation without making the rise sound conditional.
What this generator does not do
- It does not tell you what to charge. The freelance rate calculator works out a rate from the income you need and the hours you can bill.
- It does not send anything. It writes the email. You copy it, or open it in your own email app, and send it from there.
- It does not keep anything. Nothing is written to your browser's storage and nothing you type is sent to us.

Once the new rate is in place, the invoice generator makes the invoice that uses it. If a client falls behind on paying at the new rate or the old one, the payment reminder email generator writes the follow-up, from a friendly nudge to a formal reminder. If one request has grown the work rather than the whole engagement, the scope change email generator prices that request on its own.
