Invoice templates by profession
Each template starts an invoice in the invoice generator with the lines and notes that kind of work needs, and explains what to put on it. Pick the one closest to how you bill.
The templates
| Template | Billed by | Kinds of job |
|---|---|---|
| Photography | By session or day, per image, and a fee for the licence | Commercial shoot, Wedding or event |
| Translation | Per source word, or by the hour for editing | Per word, Editing by the hour |
| Consulting | Day rate, hourly, or a monthly retainer, plus expenses | Day rate, Hourly, Monthly retainer |
| Graphic design | A fixed fee per deliverable or milestone, with revision rounds | Logo and branding, Website design, by milestone |
| Construction and trades | Labour by the day or stage, materials at cost on their own lines | Job for a homeowner, UK subcontractor under CIS |
Choosing how to bill
The template matters less than the unit you charge in, because that is what the client checks. Pick the one that matches what you agreed:
- By the hour: work whose length you can't know in advance, such as editing, advice or support. The hourly invoice calculator adds up the time, and the consulting template has an hourly version.
- By the day: on-site work and workshops. Say how many hours a day covers, as the consulting template does.
- Per unit: a price per word, per image or per page, when the client can count the units. See translation and photography.
- A fixed fee per deliverable: creative work with a clear result, paid in stages for anything large. See graphic design, and deposits and progress billing for the stages.
- Labour and materials: building and trade work, with the two kept on separate lines. See construction.
Using a template
- Open the template and choose the kind of job and your currency.
- Press Use this template. The invoice generator opens with the lines and the notes filled in.
- Put in your prices, your details and the client's, then download the PDF.
The lines arrive without prices on purpose. The example figures on each page are only an illustration, and an invoice should never go out with them.
If your work isn't here
Start from the invoice generator itself, which opens on a blank invoice. What to put on an invoice covers the fields every invoice needs, whatever the work.
Short version: choose the template that bills in the same unit you agreed with the client, by the hour, the day, the word or the deliverable. It fills in the lines and notes; you add the prices.
